Administrative and Program Officer Vacancy

 

Duties:

Coordinating administrative support, including office management, board member materials and supplies

Updating and maintaining directories and changes to HI Board of Director manual

Tracking office equipment, maintenance and inventory; supervising décor, orderliness and tidiness of common office spaces

Managing office files

Maintaining office database as needed, including general mailing list and other data bases as assigned

Scheduling office appointments, arrangements and staff travel needs as required

Serving as receptionist and representing Humanities Iowa to the public

Helping with logistical arrangements for board meetings and events

Processing vouchers, requisitions, purchase orders and motorpool reservations

Preparing notes and minutes for board and committee meetings as needed

Coordinating administrative data regarding speakers bureau

Assisting with editing publications

Assist with the following fiscal responsibilities:

Maintaining financial books and accounts receivable/payable

Arranging payment on authorized expenditures

Providing support for outside audits

Maintaining grants accounting and council project ledgers

Work with designated staff to maintain gifts and matching ledgers for NEH, grantees and board

Performing other work as needed and required by the director

Travel may be necessary to transport exhibits around state

Ability to lift and transport exhibition boxes

 

Other responsibilities as required and assigned by the Executive Director may include:

Investigating and writing proposals for outside funding;

Writing and editing organization’s bi-annual publication, Voices from the Prairie;

Serving as a staff liaison to relevant board committees;

Drafting press releases and newsletter articles;

Maintaining web pages; and

Other related program and administrative tasks.

 

Education Required:

Bachelor of Arts Degree

 

Experience Required:

Strong writing, database and administration skills essential, as is familiarity with non-profit and federal grants administration procedures.
